Medicology Terms & Conditions of Booking

Registrations
Standard cancellation policy (see below) applies from the point of registration (booking). By placing a registration (booking), you are agreeing to the standard cancellation policy.
- For courses 5+ weeks ahead at the registration (booking) date, course fees will be fully refunded/ credited if study leave is not granted and delegates have informed Medicology of this within 30 days of making the booking and at least 14 days prior to the course date. Cancellation requests must be in writing, by post or e-mail, and must include a copy of the study leave refusal. Medicology will then request completion of its standard cancellation form before effecting the cancellation.
- For courses occurring 2 weeks or less from the date of registration, course fees will be fully refunded/ credited if approval to attend/ study leave is not granted and delegates have informed Medicology of this within 7 days of their registration date (i.e. you have 7 days to seek study leave/ approval to attend). Cancellation requests must be in writing, by post or e-mail, and must include a copy of the study leave refusal. Medicology will then request completion of its standard cancellation form before effecting the cancellation.
- All registrations are confirmed by email and by post using the addresses provided at the time of registration. However, Medicology is not responsible for non-arrival of registration confirmations. Joining instructions
- Joining instructions will be issued to you via e-mail before the course is due to take place (generally around 21 days prior), using the email address contained in your account. Medicology cannot be held responsible for the non-arrival of joining instructions. If you have not heard from us within 7 days of the course date, please contact the Customer Service Team on customer.services@medicology.co.uk or by calling them on 01332 821260
Standard Cancellation Policy
- Failure to arrive on a course is not a cancellation. If you fail to show up for a course that you are booked on to without informing us, you remain liable for 100% of the course fees whether these have been paid or not
- For cancellations at 14 actual days or less from course or seminar date , 100% of course fees remain payable
- For cancellations made between 30 and 15 days from the course date, 50% of course fees remain payable
- For cancellations made more than 30 days from the course date, 0% of course fees remain payable but a £15 + VAT administration charge is levied by separate invoice
- The administration charge is waived for cancellations complying with the registration conditions above
In all cases we will do our best to seek alternatives such as different courses or dates subject to availability and the integrity of the original course booked but the onus is on delegates to inform us as early as possible of any attendance problems they are experiencing. There may be some charges associated with this but in all circumstances these will relate to unrecoverable amounts incurred by Medicology Ltd.
Prior to the event, if you are unable to attend for any reason, you may change the name of the delegate free of charge, so that someone can attend in your place.
In the event of sickness or unavoidable circumstances that prevent you from attending on the day, delegates remain fully liable for the course fees. However, we will book delegates onto another course so that you don’t miss out on the training opportunity. This will incur a £60 + VAT charge per day to represent the unrecoverable costs associated with the original day(s). This can sometimes be avoided by informing us the day before, depending on the terms & conditions of the venue being utilised. Delegates should inform us at the earliest point they know they can’t attend to allow Medicology to take whatever measures possible to avoid unrecoverable costs. We promise to do our best under the natural business constraints we also have to work with.
Payment Policy
- Payment of course or seminar fees must be fully resolved (see definition below) prior to attendance on the course
- If a course booking has been made under an offer or discounted rate, including at the early bird rate, then payment must be received by the due date (invoice date + 28 days) or all offers and discounts are forfeited and the price reverts to the standard rate. The booking still remains under the same cancellation and payment terms & conditions.
- Full resolved is one of the following:
- Paid by credit card at time of booking
- Paid by credit card from personal invoice (link to secure credit card service or by phone)
- Paid by personal cheque (made payable to Medicology Ltd)
- Paid by bank transfer to Medicology account
- Invoiced to Trust / Employer (see below) although payment may not have necessarily been received by us
- For bookings made within 30 days of the course, payment may be made with the tutor on the day
Invoices to Trust / Employer must have been agreed with the Trust beforehand. Any invoices declined by the Trust will result in a £45 + VAT penalty per course day becoming payable by the individual i.e. invoice to Trust/ Employer should only be utilised where this is the Trust’s accepted methodology for paying fees.
In the event of:
- non payment or late payment of the invoice issued at booking
- following attendance on the course
- non attendance without effective cancellation
- cancellation outside the terms of the Standard Cancellation policy
Medicology reserve the right to claim from the delegate the expenses incurred in collection of the debt due or instruction of debt collectors or Solicitors to pursue recovery of the debt. This provision includes the right to charge for each postal letter issued at the rate of £15 + VAT to cover administrative expenses, postal charges & materials. Chargeable reminder letters are issued at 42 days post booking for all bookings made more than 42 days ahead of the course date and again at 56 days, as long as the course date has not passed. For course bookings made 42 days or less from the course date, chargeable reminder letters are sent at 14 days post course and again at 28 days post course. If these 2 reminder letters fail to produce payment, recovery is passed to our solicitors, who may choose to instigate recovery proceedings. These terms are strictly adhered to in order to preserve our course pricing for the vast majority of persons paying on time.
If you are not able to pay on time for whatever reason, it is your responsibility to inform Medicology at the earliest opportunity and certainly no later than the payment due date. Wherever it is possible, Medicology will attempt to resolve these matters with you but any accommodation made is entirely at our discretion.
Discounts & Offers
We reserve the right to cancel any and all discounts, special offers or other reduced cost schemes we are running at any time without any notice to our customers.
